That wasn't my experience.
Like many people, I initially approached AI as a digital assistant. Whenever I had a question, I opened ChatGPT or another AI tool, typed a prompt, copied the response, and returned to my work. It was certainly useful—I finished some tasks a little faster—but my overall productivity didn't change very much.
The turning point came when I realised that AI wasn't just another application on my computer. It could become part of my daily routine.
Instead of asking, "What can AI do for me today?" I started asking, "Which repetitive tasks can AI help me eliminate every single day?"
That small change in thinking transformed how I work.
Rather than relying on AI occasionally, I built a simple daily habit around it. Every morning, I use AI to organise priorities. Throughout the day, it helps me research topics, summarise information, draft content, analyse ideas, and organise projects. At the end of the day, it helps me review progress and prepare for tomorrow.
The result wasn't just better productivity.
I became more organised.
I made decisions faster.
I spent less time switching between tasks.
Most importantly, I reduced the mental effort required to manage my workload.

These are perfectly valid uses.
However, they don't fundamentally change the way you work.
Instead, AI becomes another tool rather than part of your workflow.
The greatest productivity gains happen when AI is integrated into your routine from the beginning of your day to the end.
Rather than helping occasionally, it supports almost every stage of your work.
The Hidden Cost of Repetitive Work
Most professionals underestimate how much time disappears through small, repetitive activities.
Consider how often you:

- Rewrite similar emails.
- Look for documents.
- Summarise meetings.
- Brainstorm ideas.
- Research familiar topics.
- Organise files.
- Prioritise tasks.

None of these tasks are particularly difficult.
But together, they consume a surprising number of hours each week.
The challenge isn't that these activities are impossible.
It's that they interrupt deep, focused work.
Every interruption requires your brain to stop, switch context, and then regain concentration.
Researchers often refer to this as context switching. Although each interruption may only last a few minutes, repeatedly changing focus throughout the day creates significant cognitive fatigue.
This is where AI becomes valuable.
Instead of replacing meaningful work, it removes many of the small interruptions that quietly drain your attention.
The Productivity Habit That Changed Everything
When people ask me what made the biggest difference to my productivity, they're often surprised by my answer.
It wasn't a premium AI subscription.
It wasn't a complex automation platform.
It wasn't a secret prompt.
It was a habit.
Every morning before opening social media, checking the news, or responding to emails, I spend a few minutes working with AI.
That simple routine shapes the rest of my day.
Here's what it looks like.

The first thing I do each morning is write down everything I'm thinking about.

Deadlines.
Personal reminders.
Business opportunities.

The objective is simply to empty my mind.

It reduces mental clutter and creates a clear starting point for the day.

Step Two: Ask AI to Organise It
Once I've captured my thoughts, I ask AI to organise them into categories.
For example:
- Urgent tasks
- Important projects
- Quick wins
- Long-term goals
- Research topics
- Meetings
- Personal activities
- Learning objectives
Instead of looking at a chaotic list of ideas, I immediately have a structured plan.
This process takes only a few minutes but often saves much longer later in the day.
Step Three: Identify the Highest-Value Work
One of the easiest ways to feel busy without making progress is to complete low-impact tasks.
AI helps me evaluate which activities will create the greatest value.
For example, it might suggest that finishing a proposal should take priority over organising folders.
Or that publishing an article will have a greater long-term impact than replying immediately to non-urgent emails.
Of course, AI doesn't make the final decision.
It simply provides another perspective.
Ultimately, I remain responsible for choosing my priorities.
Step Four: Break Large Projects Into Smaller Actions
Large goals often create unnecessary resistance.
Writing a book.
Launching a business.
Building a website.
Creating a course.
These objectives can feel intimidating because they're too large.
Instead of viewing them as single tasks, I ask AI to divide them into smaller steps.
For example:
"Create an online course."
becomes
- Define the audience.
- Choose the topic.
- Write learning outcomes.
- Create a course outline.
- Draft lesson one.
- Design presentation slides.
- Record videos.
- Edit videos.
- Upload content.
- Build the sales page.
- Prepare marketing emails.
Suddenly, the project feels achievable.
Progress becomes visible.
Momentum increases.
Why This Habit Works
Many productivity systems fail because they're too complicated.
They require multiple apps, lengthy planning sessions, or unrealistic levels of discipline.
This habit is different.
It works because it is:
Simple.
Flexible.
Repeatable.
You don't need specialised software.
You don't need advanced technical knowledge.
You simply need a willingness to spend a few minutes planning your day with AI rather than reacting to it.
Small improvements repeated consistently often produce larger results than dramatic changes attempted only once.
AI Doesn't Replace Thinking—It Improves It
One concern I often hear is that relying on AI might reduce creativity or critical thinking.
In my experience, the opposite has happened.
Because AI handles repetitive organisation and information gathering, I spend more time thinking about important questions.
Instead of asking:
"Where did I save that document?"
I'm asking:
"Is this the best strategy?"
Instead of searching for scattered information, I'm evaluating opportunities.
Instead of formatting reports, I'm making decisions.
AI hasn't replaced my thinking.
It has given me more time to think.
That's an important distinction.
My Favourite Rule: Start Small
If you're new to AI, don't try to automate your entire life in one weekend.
Choose one daily habit.
Perhaps that's organising tomorrow's schedule.
Maybe it's summarising articles.
Or drafting emails.
Or planning your weekly priorities.
Once that habit becomes natural, add another.
Then another.
Over time, you'll build a personalised AI productivity system that reflects how you actually work.
Consistency is far more valuable than complexity.
